What to include in a birthday invitation

A good invitation answers six questions: who is inviting and why, when (date, start time and, if needed, end time), where (address, floor, how to find the entrance), what to wear (dress code or theme), by when to RSVP and how to contact the host.

If it is a surprise party, say so in capital letters and ask guests not to mention it on social media. If you have gift wishes — “flowers instead of presents”, say, or a joint gift — mention it tactfully in one sentence.

When to send invitations and how to design them

Timing. Two weeks ahead for a house party, three to four weeks for a milestone birthday at a restaurant or an out-of-town party, and 1.5–2 weeks for a children’s party, as parents need to plan their weekend. Send a short reminder with the address a day or two before.

Format. An e-invitation in a messenger or a card made in an online designer is the quickest option. Printed cards suit a milestone birthday, and a video invitation from the birthday person works well for a party with friends. Children’s invitations can be handmade together with your child: collage, stickers or a drawing.

Tone. Write the way you talk to your guests: with humour for friends, warmly but more formally for colleagues and older relatives. Birthday invitation template

Every invitation rests on five lines. Copy the template and fill in your details:

[Greeting], [guest’s name]!
You’re invited to my [age] birthday!
When: [date], [start time].
Where: [address or venue].
[Dress code / theme / what to bring]. Please RSVP by [date].

Three ready-made versions based on it:

  • Classic: “Dear Olena, I’d love you to join me for my birthday on 14 November at 6 pm at Lavanda café. It would mean a lot to have you there. Please reply by 10 November.”
  • Friendly: “Hey! I’m turning 30 and it won’t be the same without you. Saturday, 7 pm, my place. Bring your good mood — I’ll handle the rest.”
  • For kids: “Hi Max! Come to my 7th birthday party! Sunday, 12 noon, 5 Sadova St. There’ll be a treasure hunt and cake! Parents, please reply by Friday.”

For printing, choose A6 (a 10×15 cm card) or A5, thick 200–300 gsm paper and at least 12 pt type so it’s easy to read.

How to make an invitation online for free

You can make a digital invitation in 15 minutes without a designer. Popular online editors such as Canva or Adobe Express offer free invitation templates: pick a layout, change the text, photo and colours, then download a PNG or PDF or send a link.

  1. Choose the format. Vertical 1080×1920 px for messengers and stories, A6 or A5 for print.
  2. Pick a background. Plain or with a light pattern — flowers, confetti, balloons, watercolour. Keep the text readable: light background and dark letters or vice versa.
  3. Add a photo of the birthday person to make it personal.
  4. Check the details: date, time, address and a number to reply to.
  5. Send it as an image in a messenger, and send adult guests the text too so they can copy the address.

DIY invitations: 4 ideas

  • Collage card. Coloured card, cut-out balloons or a cake, handwritten text. Kids love making these for their friends.
  • Balloon invitation. Roll up a note and put it inside a balloon — guests pop it to read the details. Great for kids from 6 and for grown-up groups.
  • Ticket or boarding pass. An invitation styled as a cinema, concert or plane ticket — perfect for a themed party.
  • Photo invitation. Print a childhood photo of the birthday person with the date and address on the back.

Once the invitations are out, think about the atmosphere: a bouquet on the table, number balloons and a small photo corner. Order flowers in advance for the day of the party so you are not hunting for them at the last minute.
